Gearing up for Launch with Stage 1 of Workday Student Training

June 2023 marked the beginning of Workday Student Training for the UBC community*. This training is designed to prepare staff and faculty to effectively use the new student information system. 

Moving to Workday Student will be one of the largest transitions to date for UBC, with impacts to staff, faculty, and students. As such, it is important for our community to prepare as much as possible for the upcoming changes.

Workday Student will be launched in phases, starting with Launch 1 in October 2023, and Launch 2 in February 2024. Workday Student Training will follow a similar staged approach, where our community members will receive training at the right time, and in the right format when it is most important to them.

Workday Student Training timeline

There will be three stages of Workday Student Training:

 

Core User Training

Starting in July 2023, comprehensive Launch 1 Core User Training will be available to all faculty and staff users via self-serve Canvas courses and will be available and updated continuously thereafter. Core training will provide online, on-demand training with hyper-realistic simulations that will provide hands-on practice. Multiple “Read It, Watch It, Try It” formats will be available to suit various learning styles. Courses will be phased-in and available to impacted faculty and staff users as needed through Workplace Learning starting July 17, 2023. Training for Launch 2 (February 2024) will not begin until late Summer/Fall 2023.

 

In-Application Training

Once the system is live, in-application training will also be available from within Workday Student via links, for immediate, in-application assistance/refresher training in the user’s choice of “Read It, Watch It, Try It” formats.

Launch 1 – October 2023 onwards

Launch 2 – February 2024 onwards

 

Advanced Users of the system

For Launch 1 capabilities, select groups of advanced users, identified through consultation with members of the Transition Network, alongside business owners in central units, will receive focused, in-depth training built on available Core training courses starting June 2023. For Launch 2, Advanced users will be trained “just in time” using the Core training courses as a foundation, supplemented by concentrated, synchronous remote sessions. A training release schedule will be made available to advanced users and continuously updated. 

Understanding the difference between Core training and training for Advanced Users of the system

All training starts with Core Training courses. For most users, the Core Training courses will provide a thorough understanding of new capabilities in the new system. Advanced Users will start with the Core courses and will receive additional in-depth training that will help them provide support and guidance within their respective areas when needed.

What format will you receive training in? 

Training will be delivered in multiple formats. Workplace Learning and Canvas environments will be used to host courses, there will be links in Workday to guide users to training resources, and focused, in-depth training for advanced users will be provided.

These formats will provide learners with a full range of online, on-demand training materials to meet their needs, socialized through the transition network, IRP Student website and other community engagements.

Supporting students through this change

Student processes are almost exclusively part of Launch 2. Student training on all high-impact, student-facing capabilities will be available prior to student access to the new system in 2024. Student courses will be available as self-serve Canvas/Workplace Learning courses to both students and staff who support students, beginning in early 2024. Wherever possible, student courses will be mobile-friendly. ​

*Training is designed for staff and faculty that are current users of the Student Information System and will be affected by the transition to Workday Student. If you are unsure if you are impacted, please reach out to your Primary Transition Lead.
