What is the Issue?

The issue relates to Admissions bulk communications (Ad hoc email formatting and tag insertion for Thank You emails; Templated letters for Acknowledgment for Undergraduate Applicants). The business needs to start sending out 'Thank you’ and Acknowledgement emails to 2700+ EPBC applicants.  

There is a formatting and tag issue from the Admissions Administrative Portal (AAP) Ad hoc email functionality where ad hoc emails are not retaining formatting and tags. There is another issue with templated letters, such as the Acknowledgement (ACKN) letter and Required Documents (RDOC) letter, where the template is unable to generate, and content is incorrect. 

Who is impacted? Undergraduate Applicants   

What is the issue status?

In the interim, ad hoc emails were sent out to 2400 applicants that applied between Oct 4-Oct 25 by using the Salesforce CRM. 

When will it be resolved?

A fix was released to production on Oct 28 to address the issue with formatting and tags. Testing is underway to fix the templated letters.  

  • Thank You letter for undergrad issues were fixed, in production and verified.  
  • Fixes for Acknowledgements were mostly completed late Sunday, October 28th and the team worked throughout the weekend to complete a new build for regression testing. Fixes for Acknowledgement issues were deployed to production on Monday, October 29.  
  • Fixes for AAP letter failed are in the Staging environment and being tested; the target for deployment to production is October 30.
